Senior Program Assistant in Dallas, TX

The ACS, Digital Forensics and eDiscovery Support Services Group would like to hire a positive and energetic Program Assistant to assist our team members. A successful candidate for this position will have exceptional organizational skills, good people skills, the ability to manage multiple projects, be motivated to take initiative, pay careful attention to detail, and follow projects all the way through to completion. This position will require the performance of a variety of administrative tasks, including, but not limited to, any/all of following: - Assist the Director in overseeing the personnel records, and administrative processing of DFG/eDiscovery employees, including new hire orientation, benefit administration, security administration, training arrangements, travel/expense authorizations, salary and performance evaluations, terminations, etc. Ensures that associated forms and notifications are approved and processed and that various ACS and client required reports are updated to reflect changes. - Assist the Director in tracking the Digital Forensics and eDiscovery services costs and performance, including time sheet collection, verification, payroll/labor accounting, reporting, and distribution. - Assists and maintains DFG inventory on quarterly/yearly basis. - Prepares equipment and supplies expense request: Will assist the Director in conducting cost/benefit analyses, obtaining quotes, negotiating with vendors and initiating purchase orders for both task and overhead items. - May conduct/compile/make special analyses, reports and presentations of budgets, performance, forecasts, etc., as required. - May introduce/implement administrative or financial control procedures which improve the effective operation of the unit. - Processes paperwork in an efficient manner according to set procedures. - Records, posts, codes, logs, photocopies, distribute, and/or update information. - Prepares reoccurring reports and presentations. - Proofs own work or work of others. - Establishes and maintains files in accordance with predetermined standards. - Answers phones and routes incoming calls to appropriate offices or personnel; takes accurate messages. - Greet visitors and announce their arrival to the appropriate staff member. - Distribute mail within the organizational unit. - Types correspondence, memoranda, reports, etc. using typewriter or word processing software and/or performs data entry. - Keep calendar(s) and schedule appointments. - Coordinate travel arrangements. Administrative Support: Provide administrative support to designated Staff. Note taking, correspondence and required follow-up. Collecting and organizing relevant information about program activities. Meeting coordination inclusive of travel arrangements for multiple participants, logistics and event planning. Photocopying, assembly and distribution of documents. Assist with updating web-based materials. Assist with general administrative work and telephones (as needed). Fact-finding and information gathering for both general research functions and specific projects. Database Maintenance: Update and maintain organizational database(s). Layout and Editing: Assist with production of internal/external reports. Assist with graphic production of files. Assist staff with editing and producing written reports. Qualifications/Knowledge/Abilities: Minimum 2 years previous experience in challenging administrative support position required. Communicate and interact comfortably and effectively with a diverse population both verbally and in writing. Demonstrated ability and capacity to proofread and produce high quality documents in a timely manner. Ability to exercise good judgment and tact. Ability to effectively operate computers and knowledge of standard office computer applications (MS Word, Excel, Outlook, PowerPoint, etc) and standard office equipment, including multiple line telephone systems. Knowledge of Internet, graphic, and database applications desirable. Good communication and writing skills including high proficiency in English grammar, spelling and punctuation. Detail oriented, accurate and timely with assigned tasks. Ability to handle multiple priorities and complete multiple projects in a timely manner.
