This is a senior level, seasoned professional, who applies a comprehensive and in-depth knowledge of project management and administrative support concepts, practices and procedures to most complex/sensitive or highly critical contract, project, task(s) or similar stand-alone group. Oversees one or more on-site projects by assembling teams and/or individuals, and acquiring resources as needed. Serves as liaison between team members and functional area management. Duties may include contract accounting and reporting, payroll/personnel processing, maintenance, and reporting, contract administration, purchasing, facility leasing and service administration, etc. Operates with substantial latitude for unreviewed action or decision. Under general supervision, plans, conducts, and may supervise assignments. Reviews progress and evaluate results. Work involves considerable coordination and interface with client and ACS staff. Errors can cause considerable delay, expense and/or disruption.
REPRESENTATIVE PRINCIPAL DUTIES AND RESPONSIBILITIES:
Maintains a record of contract budget (actual/projected). Tracks ACS costs and performance, including time sheet collection, verification, payroll/labor accounting, reporting, and distribution.
Assembles project team(s), assigns individual responsibilities, develops project schedules and responsible for determining and acquiring resources needed.
Recommends changes in procedures. Reviews progress with management.
Prepares and initiates contract billing and provides supporting documentation/reporting to secure payment for services and other deliverables provided to client.
Contract administration tasks to include estimates of materials, equipment, production costs, performance requirements and delivery schedules. Prepares bids, specifications, test and progress reports.
Oversees personnel records and administrative processing of contract employees, including new hire orientation, benefit administration, security administration, training arrangements, travel/expense authorizations, salary and performance evaluations, terminations, etc. Ensures that associated forms and notifications are approved, and processed and that various ACS and client required reports are updated to reflect changes, (e.g., staffing/bid rate reporting).
Responsible for facility administration, including space planning and allocation/moves. Administers building, facility, and equipment leasing, maintenance and/or repair arrangements, including telecommunications, mail, custodial, equipment, printing and repro services. Coordinates, as necessary, with ACS and client representatives, as well as outside vendors.
Purchases equipment and supplies: conducts cost/benefit analyses, obtains quotes, negotiates with vendors, and initiates purchase orders for both task and overhead items.
May conduct/compile/make special analyses, reports and presentations of budgets, performance, forecasts, etc., as required.
May introduce/implement administrative or financial control procedures, which improve the effective operation of the unit.
May give functional direction to less experienced project support personnel and may supervise subordinate clerical and/or administrative staff in support of contract, project, or task(s). To Apply to this job go to http://www.GadBall.com or click here
